Organisation Plan for Tutorial Programme

SpR/T Group SpR/T Tutorial Organisers Programme Co-ordinator (PC) Discuss tutorial programme at spring trainee business meeting and agree topics taking into account needs of all trainees and rolling programme
Agree to organise a tutorial on a particular topic and notify SpR/T group – two organisers needed per tutorial.
Keep tutorial suggestion list up to date. Draw up draft tutorial timetable using information from SpR/T committee. Agree with Chair of Trainees’ Committee and Programme Director.
Decide on aims and objectives and discuss ideas for tutorial with colleagues
Provide information for tutorial organisers i.e. past programmes, evaluations, contact details of possible speakers
Send tutorial topic suggestions to PC throughout year for spring discussion.
Contact speakers - to include fellow SpR/Ts. Ensure speakers know who is their target audience. Check with PC before agreeing outside speaker fee.
Book venues well in advance in various locations around the region. Provide venue with catering, room layout and equipment details. Notify venue of numbers attending. See venue checklist.
Suggest speakers to organisers
Let PC have contact details of any outside speakers
Liaise with tutorial organiser about speakers and possible fees. Agree fee with speakers
Attend tutorials
Write programme to include educational outcomes and using a combination of learning styles. Allow for some flexibility within the programme.
Liaise with speakers to obtain biographies and equipment / travel / accommodation requirements.
Send apologies if not able to attend
Send programme to PC at least one month before tutorial.
Circulate programme and venue map to SpR/T group. Gather attendance and apologies information.
Complete evaluation form and return to PC
Discuss venue and equipment requirements with PC
Ensure an attendance register and evaluation forms are available at the tutorial.
At tutorial:
After tutorial:
Arrive at venue early to check room set up/ equipment working/ and run through timetable with venue to double check break times
Send thank you notes to outside speakers following discussion with organiser.
Chair the day including time-keeping (unless an outside facilitator is included in arrangements). Be prepared for speakers turning up late or not turning up at all. Take notes
Arrange for speaker payments.
Take laptop along if necessary (as venue have to hire in from outside)
Send out any presentations to all trainees if required.
Act as venue / speaker contact at tutorial
Collate evaluation information and send to organiser and speaker (as appropriate).
Ensure evaluations are handed out and returned to PC
Provide tutorial evaluation information to training committee.
Ask speakers for post tutorial material for distribution to trainees.
Provide tutorial attendance information to RITA panels.
